Implementing a new nursing documentation system requires collaboration across several professional groups in order for health information technology to be successful. An advanced nurse leader oversees the effective adoption of HIT while directing workflow process improvements using their medical expertise (McGonigle & Mastrian, 2024). Their participation improves patient care outcomes, matches with evidence, and helps the system function smoothly for frontline nurses. By examining and refining planning, requirements, design, deployment, and follow-up reporting, the nurse leader will participate in all phases of the Systems Development Life Cycle (SDLC).

Planning and Requirements Definition

The graduate-level nurse leader serves as the first liaison between frontline nurses and system implementation personnel during planning and requirements formulation. In order to translate actual clinical demands into system specifications, the nurse leader must collaborate with staff to identify documentation problems and assess clinical workflows (Ozkaynak et al., 2022). During the system activation phase, the nurse leader provides direct assistance and helps with troubleshooting and inquiry resolution in the dual roles of super-user and nursing champion. When executives and employees work together, user confidence is increased and system resistance is decreased, resulting in a more effective adoption of new systems.

Post-Implementation Support

By making the system better and promoting user participation, the nurse leader maintains their support after the system is put into place. The nurse leader’s responsibilities include gathering staff input, observing system performance, and identifying areas for improvement (Hookmani et al., 2021). The nurse leader works with quality groups to evaluate system data for workflow and result evaluations, supports new hires through onboarding programs, and assists in creating training sessions for system refreshers.
